Summary sheet of the condominium

The trustee must prepare a summary sheet of the condominium every year, under penalty of sanctions. What should the summary sheet contain and what is it used for? We present you all the information you need to know.
The summary sheet is a document that informs co-owners about the operation of the co-ownership and the condition of the building.
This document is mandatory in all condominiums.

The summary sheet should not be confused with the condominium rules or the maintenance book from the building. It is a separate document that summarizes the essential data of co-ownership.
The summary sheet must be produced by the syndic of co-ownership.
For generate this record, the trustee must follow several steps. The summary form must be dated and include the name and signature of the trustee, accompanied by his stamp.

The summary sheet can be extracted from the national register of condominiums.
The summary sheet must include certain information.
Identification of the condominium, trustee or provisional administrator
- Usage name and address of syndicate of co-owners
- Address(es) of the building(s) (if different from that of the syndicate of co-owners)
- Number of registration of the condominium the national register of condominiums and the date of its last update
- Date of establishment condominium rules and establishment identifier number (Siret: titleContent) of the syndicate of co-owners
- Name, first name and address of the legal representative of the condominium (syndic of condominium or ad hoc administrator) and Siret
- Framework of intervention of the legal representative (mandate of condominium trustee or mission of the ad hoc administrator)
Legal organization of co-ownership
The summary sheet must indicate the nature of the trade union (main/secondary).
In the case of a secondary syndicate, the form must also specify the registration number in the national register of condominiums of the main syndicate.
Technical characteristics of the condominium
- Total number of condominium lots listed in the condominium by-law
- Distribution of lots according to their use (home, business, office)
- Number of buildings
- Period of construction
Condominium facilities
- Type of heating and, for non-urban collective heating (partial or total), type of energy used (gas, fuel oil, electricity, etc.)
- Number of elevators
Financial characteristics of the condominium
The summary sheet must specify financial elements that differ according to the date of the accounting year of the condominium:

1st accounting year (accounts not yet approved at the General Shareholders’ Meeting)
The summary sheet must indicate the start and end dates of the accounting year.
Closed accounting period (accounts approved by the General Shareholders’ Meeting)
In particular, the summary sheet shall include the following:
- Start and end dates of the accounting year and date of the general meeting having approved accounts
- Expense amount for current operations
- Expense amount for exceptional works and transactions
- Amount of supplier debts
- Amount of unpaid
- Amount of works fund.
The trustee must update the summary sheet every year.
The update must be done within 2 months which follow the notification from minutes of the general meeting during which the accounts for the financial year were approved. This period is intended to ensure that the form reflects the real financial situation of the condominium.
The summary sheet can be obtained free of charge by any co-owner.
The request must be made to the trustee by all means (mail, letter etc).
The trustee has 1 month to make this card available to the co-owner who requests it.
FYI
If the summary sheet of the condominium is not transmitted within 1 month, a penalty of €15 per day late shall be applied. This penalty is deducted from the annual fixed remuneration of the trustee.
The summary sheet is also available on theextranet of the condominium. Indeed, the trustee has the obligation to make available to co-owners a secure platform on the internet that allows to consult the documents relating to the co-ownership, download and print them. The summary sheet of the co-ownership is part of the documents available to all co-owners.
Please note
During the sale of a condominium lot, a copy of the summary sheet must be attached to the promise of sale or the deed of sale. It supplements the other documents to be provided to the purchaser.
The trustee is responsible for preparing the summary form of co-ownership.
The failure to produce the summary sheet is thus a breach of its legal and contractual obligations. This fault may constitute a ground for revocation of trustee's mandate.
